GDPR for tenants and applicants in our queue

Falköpings Hyresbostäder AB is the data controller for the processing of your personal data that we perform ourselves or that other companies perform on our behalf.

When You Join our Queue

During the queuing period, we collect and process your personal data to administer your application/expression of interest. We do this because both you and we have a legitimate interest in processing your personal data. The information remains as long as you are in our queue. If you do not wish to remain in the queue, you may request that we clear and delete your personal data.

When You are Offered Housing/Premises/Parking with Us

When you are offered a property with us, we need to process more information about you. For example, we need more information about your finances, employment, and how you have managed previous tenancies and rent payments. This means we conduct a credit check, obtain information from collection agencies and the Swedish Enforcement Authority, and process employment certificates, other certificates, and information from references you provide to us. If you have an administrator, trustee, or guarantor, we need to process that information. If you are offered special housing or group accommodation, we will obtain decisions from the social services board. The same applies to housing adaptations.

During the Tenancy

When you become our customer and receive a lease agreement, we process your personal data to fulfill and administer our obligations as landlord and contracting party. During the tenancy, we process your personal data when we send rent notices and handle your payments, when we collect information about electricity and/or water/heating consumption, when we negotiate rent, and when we send you necessary information. We may also need to update your personal data against public registers to ensure accuracy. If you have protected personal data, we will handle your information according to our procedures for such cases.

We also process your personal data to provide our services and support to you, and for marketing ourselves and our services. This processing is necessary for our legitimate interest in developing, improving, and maintaining good customer relations with you. Your personal data may also be processed so that other companies can market their products that may benefit you in connection with the tenancy. Such marketing may concern broadband companies, insurance companies, and electricity companies.

We also process your personal data when necessary to fulfill legal obligations. This may be required if, for example, there are disturbances in the residence, late or missing rent payments, or damage to the apartment. We may also need to disclose your personal data to the social services board or other relevant authorities.

We may engage data processors for processing your personal data. This might involve, for example, a contractor who needs to repair something in your apartment or a company that provides broadband or electricity. In these cases, we have an agreement with the data processor that regulates how they may use personal data and how it should be stored and cleared.

We also disclose your personal data when required by law or government decisions.

We retain your personal data for as long as they are relevant. Certain information is stored longer if required by law, e.g., the Accounting Act. We delete guarantee commitments, decisions about administrators or trustees two years after the commitment or decision has expired.

When using electronic key systems, we have special procedures to ensure that information from booking and access logs is limited to a few people and purposes, and that the information is deleted after no more than two weeks.

When the Tenancy Ends

We are a municipal public housing company and are subject to the Freedom of the Press Act’s provisions on public documents. This means we preserve public documents in our archive. Public documents are documents sent to us or documents we create ourselves, such as lease agreements, letters, and certificates. We sort public documents and information according to our document management plan.
